Communication is Key
Anytime you have to interact with other people, communication is key. Without it, how can we know what expectations exist? When maintaining a HOA, our best strategy is to focus on having an open line of communication with the HOA property manager. The property manager can keep the residents and HOA board informed with what we will be doing on the grounds. Having several residents calling the landscaping company account manager to ask various questions can be overwhelming and can be potentially problematic should any information be misunderstood or shared incorrectly. Each HOA community comes with is unique and contracts vary from one to the next depending on the services they chose. In some locations, we mow all the grounds, others just the common areas. One might ask us to mulch and maintain the flower beds, another might not. Some add winter care to their contract, some do not. Understand how it can get a bit confusing? Working with a great management company and having that direct communication makes a difference. This allows us to proactively communicate with the HOA board which seems to make everything flow smoothly. We attend as many HOA board meetings as we can so that we can answer residents’ questions directly. This also gives us the opportunity to explain what we are responsible for in their community and make sure they know who they can reach out to with any questions in the between time. It is a chance for us to field questions from members of the board and residents, provide them with updates, and find out any big events they might be hosting in the community– a 4th of July party, end of summer picnic, fall festivals, or Christmas events. We ask for the HOA’s community calendar so that we can plan our visits around important dates to avoid interrupting the fun.
Timing is Everything
We plan our tasks for each community strategically. We know that you don’t want to be woken up to the loud sound of the mower as the sun rises. For this reason, A&A Lawn & Landscape crews will tackle weeding the beds early and save the noisy tasks after everyone has had their breakfast.
Kindness Matters
Our crews are there to do a job– but they are also nice. Helping create that sense of community is more than just mowing green spaces, planting flowers, and shoveling snow. It is important to us that our crews are considerate. They will watch for people walking by so they can stop the loud equipment as they pass by. Homeowners are home more than ever as the pandemic transpires. This means that more people are watching our crews do their job. And let’s just say all the extra compliments have gone a long way– we love positive feedback. We have found that all this time home has given residents more opportunity to ask our crews to complete their own tasks like trimming a shrub or filling a hole. And while many of these tasks will only take a few minutes, those minutes add up rather fast and we can find ourselves behind before we even realize it. Generally, these personal to-dos are not included in the HOA landscape maintenance contract so our crews have to say no but they will always be kind about it.
Management Makes a Difference
We have our account manager and operations manager on site as our crews are working in HOA communities. This ensures that the work goes smoothly and there is someone on site that can answer any questions that homeowners might have so our crews can get the job done efficiently.
Property Service Reports Provide all the Details
We provide digital property service reports that list exactly which services were performed when we visit HOA communities. Lawns mowed and weed-eated? Shrubs trimmed? Flower beds weeded? Mulch delivered? Irrigation systems assessed? Trees pruned? It’s all there! You won’t be left wondering what did and did not get done. It is all outlined for the property or HOA manager in the service report. We sometimes include photos of things we notice that need done so that a decision can be made on the matter. These updates help keep communication flowing so that we are all on the same page.
